Job Description:

Front of House duties and the opportunity to work in the Butler Gallery in our wonderful new location at Evans’ Home. This role will provide excellent experience in the arts sector, with opportunities for the interested candidate to avail of all aspects of museum operations in addition to reception duties. Applicants must be registered with DSP and meet specific eligibility criteria for this post. Eligibility will be checked by DSP prior to any referral for CE Schemes. Ineligible applicants will not be able to access this CE position.

The Opportunity

Butler Gallery has an exciting new opportunity for a Marketing and Administration Executive to join our team. Reporting to the Development & Marketing Director, this is a broad and pivotal role interacting with all staff, managing the Gallery’s administration systems and procedures to high standards. The role will provide a key support function to the organisation on many levels and across all areas including the Artistic Programme of Exhibitions and Learning and Public Engagement, and the business support functions of Operations, Development and Marketing, Visitor Services and Office Management, ensuring efficiency and quality in all that we do.

This is a superb opportunity to work in a leading contemporary arts organisation in Ireland and one of Kilkenny’s key cultural attractions. The ideal candidate will have an active interest in the arts, have excellent interpersonal skills and be a creative, highly organised individual who is resourceful, has excellent computer & administration skills, a keen eye for detail and design and enjoys multi-tasking.

Previous experience within the cultural tourism and / or arts sector is advantageous but not essential.

Role Specification

Responsibilities include, but are not limited to:

Marketing:

Working with all functions to coordinate the promotion of the Gallery offline and online, develop and implement campaigns and manage / update the website ensuring the alignment of organisational and event information across multiple channels including but not limited to:

  • Coordination of organisational, exhibition and event advertising and promotional collateral.
  • Web content administration.
  • Administration of online sales platforms.
  • Content creation for, and management of, Butler Gallery Social Media Channels.
  • Development of organisational ezines.
  • Working closely with the Development & Marketing Director to support events, campaigns and projects.
  • Manage business as usual membership communications and ensure memberships are recorded, updated and maintained in the Gallery’s CRM and Payment systems.
  • Prepare and develop monthly marketing reports.
  • Work in a team environment; ensuring a positive & professional working relationship with colleagues and all stakeholders.
  • Any other duties as required.

Administration:

Assist the team in all aspects of administration as needed, including:

  • Working closely with the Gallery Director in general administration duties as required and supporting the artistic programme and output.
  • Dealing with visitors / members / suppliers by email and phone as required in a friendly & efficient manner.
  • Assist staff in sourcing and ordering supplies and materials.
  • Set up and payment of suppliers on an ad hoc basis as occasion arises.
  • Data entry as required in the CRM system.
  • Organise and distribute board documents for (6) board meetings and (1) AGM a year.
  • General office administration duties and accurate record keeping at all times.
  • Any other duties as required.

Person Specification
The ideal candidate should have the following:

Qualifications and Experience

  • Third level degree or equivalent in Marketing / Graphic Design / Business and / or other relevant area.
  • 3-5 years’ working in a busy multi-functional office environment.
  • A natural aptitude for IT with excellent computer & administration skills and be motivated to complete tasks to a high level of accuracy.
  • Proficient in Excel, Word, PowerPoint, Adobe suite, Mailchimp, Canva, Ticket Tailor. Working Knowledge of Outlook, Shopify, Stripe, Google ads etc desirable.
  • A knowledge of graphics and video production desirable.
  • Eager to learn new skills & undertake training when required.
  • Some event evening and weekend work required re exhibition openings and special events - flexibility with hours regarding TOIL as required.
  • Strong organisational and time management skills with ability to work on own initiative whilst working well within a team.
  • Excellent written and verbal communication skills.
  • Excellent attention to detail and accuracy while maintaining an ability to multi-task without losing focus

New Position: Collection Registrar

Located in the heart of Kilkenny City, Butler Gallery is a leading cultural and Heritage attraction in the South East of Ireland. Our historic venue features an extensive Permanent Collection of important Irish art. We are a free art gallery and museum showcasing modern and contemporary art through dynamic exhibitions and a diverse public engagement programme. Supported by the Arts Council and others we are dedicated to supporting the practice of living artists and nurturing creativity within society.

The Opportunity:
This is a new position created to fulfil essential requirements, for one year, to work with one of Irelands leading Contemporary Art Gallery and Museums. Within a team environment, you will be working closely with the Gallery Director and Chief Curator to manage and develop Butler Gallery’s Collection Management System and Online Collection. In addition, you will be coordinating all loans in and out (long-term and short-term) and assisting with the transition of the Tony O’Malley Estate to Butler Gallery, a key piece of work for Butler Gallery.

Role Specification

Tasks and responsibilities include:

Collection Planning

  • Provide planning support to the Director including development of the over-arching Collection programme in line with goals of Butler Gallery’s Care of Collections Strategy and review of associated management processes.
  • Assist with the transition of promised gift of works in the Tony O’Malley Estate to Butler Gallery. Oversee inventory report, examination of works, preparation for movement to storage facilities.

Collection Care

  • Maintain meticulous records of all art movements including loans in and out and acquisitions and keep all required documentation up-to-date including loan agreements and an accurate location register of works in storage on loan and exhibition.
  • Conduct weekly checks of all artworks on display in Collection Galleries and Main Gallery.
  • Working closely with Curatorial Team and Tech Team to plan and schedule movement and/or packing of artworks in line with gallery exhibition & loan programme.
  • Ensure established Care of Collection standards are maintained in line with best museum practices

Logistics

  • Coordinate with couriers, gallery staff, borrowers, lenders & transport agents for movement of artworks in and out of gallery to and from external locations
  • Sign off invoices for crating, transport and courier costs and liaise with Butler Gallery accounts function to ensure accuracy
  • Organise insurance/indemnity applications/transport tenders as required
  • Process and record export license, keeping up-to-date with Brexit customs implications.
  • Preparing Board updates on acquisitions and loans program.
  • Investigate options regarding Art Collection Management Software and the smooth transition of data from existing CRM
  • Responsible for the Collection Management System and Online Collection and liaising with software provider on any faults issues.
  • Maintaining conservation records for all works in collection, scheduling conservation, photography & framing as required.
  • Prepare any other reports as requested.
  • Accurate & up to date Collection Records & Loans Register are maintained.
  • Effective Management of systems ensuring day-to-day management and care of the Collection meets the highest levels of industry standards.

Qualifications and experience:
